Blended Intensive Programmes

The Erasmus+ programme offers a wide variety of opportunities for international learning, teaching and networking. Blended Intensive Programmes combine virtual teaching components with short stays abroad for in-person meetings.

Blended Intensive Programmes (BIP) are an EU-funded format for international teaching and learning collaboration. Participants from at least three universities in Erasmus+ programme countries come together for online learning activities and a physical presence phase.

Erasmus+ Programme Countries

The Erasmus programme countries are all EU Member States as well as Iceland, Liechtenstein, North Macedonia, Norway, Serbia and Turkey.

The in-person stays can last five to 30 days, while the virtual component is a central element of the BIPs and supports the thematic preparation, delivery and follow-up of the mobility phase.

As part of a BIP, students earn a minimum of three ECTS credits, which are recognised towards their degree programme upon successful completion. 

Lecturers may develop and deliver a BIP together with colleagues from at least two other European partner universities. They may also benefit from the network of the European university alliance Circle U., which provides inspiration and a directory of contacts for teaching staff and researchers across all Circle U. universities.

Applying to organise a Blended Intensive Programme

If you wish to organise a BIP together with colleagues from partner universities, you may apply for a budget. It is essential to clarify in advance which role HU will take, as this determines tasks and application procedures.

The following rules apply for BIP applications:

  • The physical component must last five to 30 days.
  • A virtual component is mandatory and forms a central part of the BIP (preparation, delivery and follow-up). Its length and structure are flexible.
  • At least 3 ECTS credits must be awarded to students.
  • At least ten participants must travel for the project to be eligible for funding. Lecturers may be funded from regular Erasmus+ funds but do not count among BIP participants. Students from the host university do not count toward the minimum number of mobile participants.
  • The partnership must involve at least three European universities from three different Erasmus+ programme countries, all holding a valid Erasmus Charter for Higher Education.
  • At least bilateral Erasmus+ agreements including BIPs must exist between the partners. A multilateral agreement is also possible.
     

Please clarify with your partners which institution takes on which role. The following roles must be assigned:

Coordinating university

One university coordinates the BIP overall and manages up to 4,000 euros in organisational funds. These may be used for materials, excursions or catering. If HU is not hosting the BIP, these funds should be allocated to the host university.
The coordinating university may also act as sending or hosting institution. If it also acts as host, administrative processes are simplified because funds can be transferred directly.

Sending university

At least two partner universities must act as sending universities. They provide Erasmus+ funding for their own travelling participants and handle all related documentation (Grant Agreements, Learning Agreements, Confirmation of Stay).

Hosting university

The hosting university receives BIP participants either on campus or at another venue in its country (e.g. research centre, private company). Participants from the host university do not count as mobile participants and are not eligible for Erasmus+ mobility funding.

Once all requirements have been met and the partner universities have agreed on the distribution of roles, the BIP can be applied for. As a lecturer at HU, you can submit your application to the International Office via our BIP portal for HU lecturers or our BIP portal for Charit¨¦ lecturers.

Application as coordinating institution

HU lecturers may apply by 31 January each year for the next academic year.
The International Department submits the central funding request to the European Commission in February. Funding decisions are typically issued around June. The BIP can be implemented between October and September of the following academic year.

Application for participation without coordination

HU lecturers may apply by 31 March for the next winter semester and by 31 October for the next summer semester.
The International Department reviews available budget and confirms whether funding is possible.

The International Department assists with the necessary Erasmus+ agreement. Together with partners, you prepare the BIP. Next steps depend on HU¡¯s role.

If HU is coordinating:

  • You coordinate the BIP.
  • The International Department receives, manages and distributes the organisational budget to your project coordination.
  • The International Department registers the BIP in the EU Beneficiary Module and provides the code.
  • You pass the code on to partner institutions for participant registration.
  • Further responsibilities depend on whether HU is sending or hosting.

If HU is sending:

  • You promote the BIP and act as the first point of contact.
  • Interested participants apply directly to you.
  • You select participants and submit the list to the International Department (at least three months before the start).
  • The International Department handles Erasmus administration.
  • You sign the Learning Agreements of the selected students.
  • You may claim funding for the in-person component.

If HU is hosting:

  • You organise the programme and provide the required facilities at HU.
  • You receive participant lists from partners and forward them to the International Department.
  • Incoming participants register via the International Department¡¯s BIP portal.
  • You host and support the participants.
  • You sign Learning Agreements (students) and Mobility Agreements (lecturers/staff).
  • You issue Certificates of Attendance (for students earning ECTS).
  • HU participants do not count as mobile participants and do not receive Erasmus+ funding.
     

Participation in a Blended Intensive Programme

Students, doctoral candidates and staff can participate in a BIP and receive financial support from Erasmus+ funds. Below you will find information on eligibility, flat-rate allowances and the application process.

As a HU student, you first apply to the organisers of the BIP. If selected, you will receive a registration link to the online application portal MoveOn. After completing your registration, you will receive further guidance from the International Department.

To qualify for funding, you must meet the following conditions:

  • You are enrolled at HU (or at Charit¨¦).
  • You complete both the physical and virtual components successfully.
  • You participate in the entire in-person phase of the BIP (minimum 5 days).
  • You earn at least 3 ECTS credits through the programme.
  • ECTS credits earned abroad are recognised at HU after your return.

If these conditions are met, you may receive funding for up to 14 days abroad. The daily allowance is 79 euros.

You also receive a travel allowance based on the EU Distance Calculator:

  • 10¨C99 kilometres: €28 (with Green Travel: €56)
  • 100¨C499 kilometres: €211 (with Green Travel: €285, 1 travel day)
  • 500¨C1,999 kilometres: €309, one day of travel (with Green Travel: €417, two days of travel)
  • 2,000¨C2,999 kilometres: €395, two days of travel (with Green Travel: €535, four days of travel)
  • 3,000¨C3,999 kilometres: €580, two travel days (with Green Travel: €785, four travel days)
  • 4,000¨C7,999 kilometres: €1,188, two to four travel days
  • 8,000 kilometres or more: €1,735, three to four travel days

Additional funding options may apply:

  • Social Top-Up: Social Top-Up: one-off 100 euros
  • Green Travel: up to four additional travel days with daily allowance plus distance-based travel support

Please note: Students can be funded for a maximum of two BIPs per academic year. Within one study cycle (Bachelor, Master, Doctorate), up to four BIP stays may be funded. Funding is subject to availability. First-time applicants are given priority.

If you participate as a doctoral candidate, you must carry out a research-related activity within the BIP, confirmed by the academic lead. This applies whether you participate as a student or as staff.

If you participate as a lecturer (co-organisation or teaching), you may apply for funding for the on-site phase. The requirements are:

  • You hold a valid employment contract with HU (or Charit¨¦).
  • The BIP is organised by a partner university (there must be a valid inter-institutional agreement for Blended Short-Term Mobility).
  • Lecturer participation can be funded for up to 5 days. The on-site stay must last at least 5 days and may be up to 30 days.
  • Both the virtual and the physical components must be completed successfully.

If these conditions are met, apply to the International Office for a teaching stay in the Erasmus+ programme.

Please note: In general, only one lecturer mobility per BIP is funded. Additional lecturer mobilities may only be supported in exceptional cases, depending on available budget and with appropriate justification.

If you are a HU staff member and wish to take part in a BIP as part of an Erasmus+ staff training mobility (e.g. staff week), you may apply for travel funding. Requirements:

  • You hold a valid employment contract with HU (or Charit¨¦).
  • The BIP is organised by a partner institution.
  • On-site stays of participants must last five to 30 days. For staff, funding is available for up to 5 days.
  • Both virtual and physical components must be completed successfully.

If these conditions are met, you can apply via the International Department for Erasmus+ staff training. Information on daily allowances and travel support can be found on the programme website (subject to change from 2026).
